Groomio ("Groomio," "we," "us," or "our") provides point-of-sale and business management software for pet grooming and pet daycare businesses, available at groomio.pet and through the Groomio application. This Privacy Policy explains what information we collect through the Groomio platform, how we use it, and the choices available to you. Information We Collect

To operate and support the Groomio platform for pet grooming and daycare businesses, we collect the following categories of information:

  • Business owner information: the name, email address, phone number, and business details of the owner who creates a Groomio account.
  • Staff information: names, contact details, and role or permission information for employees added to a Groomio account by the business owner.
  • Client (pet owner) information: names, phone numbers, email addresses, and physical addresses for the clients served by a grooming or daycare business.
  • Pet information: pet names, breeds, weights, temperament and safety notes, grooming preferences, medical notes, and vaccination records entered to support appointments and daycare stays.
  • Appointment and daycare history: booking dates, services rendered, appointment notes, and scheduling records.
  • Payment data: Groomio uses North (EPX) as its payment processing partner. Groomio does not store full card numbers or other sensitive cardholder data on its own servers; that information is handled directly by North/EPX in accordance with their own security standards, including applicable PCI-DSS requirements.
  • Photos: before-and-after grooming photos captured by salon staff during an appointment, which are stored in our cloud storage and automatically shared with the pet owner.
  • SMS opt-in status and messaging history: whether a client has consented to receive text messages, and records of SMS communications sent through the platform.
  • Email address for marketing communications: used to send marketing and promotional emails to clients where a business has enabled this feature.

How We Use Information

We use the information described above to provide and maintain the Groomio platform, enable appointment scheduling and client and pet record-keeping for grooming and daycare businesses, process payments through our payment partners, send SMS and email communications, provide customer support, send important account or service notifications, improve and secure our software, and comply with applicable legal obligations.

Payment Processing

Groomio partners with North (EPX) to process payment transactions on behalf of grooming and daycare businesses using our software. When a payment is processed, cardholder data is transmitted directly to North/EPX's secure systems. Groomio does not store, and does not have access to, full card numbers or other sensitive payment credentials. Please refer to North's own privacy policy for details on how they handle payment data.

SMS Communications

Groomio uses Twilio to send SMS messages including appointment reminders, booking confirmations, and two-way customer communications.

  • By providing your phone number and using Groomio, you consent to receive SMS messages related to your appointments and account.
  • Message and data rates may apply.
  • You may opt out at any time by replying STOP to any message.
  • For help, reply HELP or contact [email protected].
  • Message frequency varies.

Phone numbers and message content used for this purpose are processed by Twilio on our behalf in accordance with Twilio's own security and privacy practices. Groomio does not share phone numbers with third parties for marketing purposes.

Email Communications

Groomio uses Resend to send transactional emails including booking confirmations, appointment reminders, receipts, and marketing communications from [email protected], where enabled by a business. You may unsubscribe from marketing emails at any time using the unsubscribe link included in any email. Transactional emails related to your account and appointments cannot be opted out of while your account is active.

Photo Storage

Before and after grooming photos are stored securely in Supabase cloud storage. Photos are shared with the pet owner automatically after each appointment. Photos are not shared with any third parties. Salon owners may delete photos at any time.

How We Share Information

We do not sell personal information. We share information only with the service providers who help us operate Groomio, with the business owner and authorized staff within a Groomio account (since client and pet data entered by a business is visible to that business's authorized users), and as required by law or to protect the rights, safety, and property of Groomio, our customers, or others. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect information stored in Groomio from unauthorized access, use, or disclosure. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Data Retention

We retain business, staff, client, pet, appointment, and photo information for as long as an account remains active, or as needed to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Business owners may request deletion of their account data by contacting us, and may export their data at any time, including before cancelling their account.

Your Choices and Rights

Depending on your location, you may have rights to access, correct, or request deletion of personal information we hold about you. Business owners can update or remove staff, client, and pet information directly within the Groomio platform. Pet owners who wish to review or remove their information should contact the grooming or daycare business they work with, or reach out to us at [email protected] and we will assist as appropriate.

Cookies

The Groomio website and application use a limited number of cookies and similar technologies necessary to keep you securely signed in, remember your preferences, and understand basic, aggregated usage of our website so we can improve it. We do not use cookies to sell your personal information.

Children's Privacy

Groomio is intended for use by business owners and staff who are adults, and is not directed at children under 13. We do not knowingly collect personal information directly from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page along with an updated "Last updated" date above.
